Spreadsheets are not inherently bad tools, but they are fundamentally wrong for real-time financial management:

  • Daily collection trend over the past 30 days, with the ability to zoom into specific date ranges.
  • Payment channel breakdown: A pie chart showing the proportion of collections from MTN MoMo, Airtel Money, bank transfers, and cash.
  • Class-by-class heatmap: A colour-coded grid showing which classes have the highest and lowest payment rates, enabling targeted follow-up.

Deep-Dive Reports: The Detail Behind the Numbers

The dashboard home provides the summary. The reports module provides the depth. School leaders can generate detailed reports across multiple dimensions.

Fee Collection Reports

  • By student: View every payment made by a specific student, with dates, amounts, channels, and remaining balances.
  • By class: See aggregated collection data for each class or stream, identifying which groups need attention.
  • By fee category: Understand how much has been collected for tuition versus boarding versus transport versus other categories.
  • By payment channel: Analyse which channels parents prefer, helping schools optimise their payment guidance.
  • By date range: Pull reports for any custom period — a single day, a week, a month, or the entire term.

Outstanding Balance Reports

  • Aged debtor analysis: Categorise outstanding balances by how long they have been overdue (current, 1-30 days, 31-60 days, 60+ days).
  • Top debtors list: Identify the students with the largest outstanding balances for targeted communication.
  • Payment probability scoring: Our algorithm analyses historical payment patterns to estimate the likelihood of collection for each outstanding balance, helping schools plan cash flow more accurately.

Revenue Comparison Reports

Automated Report Generation and Distribution

Generating reports manually — even when the data is available — is still a chore. The DesisPay dashboard eliminates this by supporting scheduled automated reports.

How Automated Reporting Works

School administrators can configure report schedules through the dashboard settings:

  • Daily summary: An automated email or WhatsApp message sent to the director at 6:00 PM each day summarising the day's collections, new outstanding amounts, and any flagged issues.
  • Weekly digest: A more detailed report sent every Friday afternoon, covering the week's performance with charts and commentary.
  • Monthly board report: A comprehensive, presentation-ready report formatted for school board meetings, including executive summary, detailed financials, trend analysis, and recommendations.
  • Custom triggers: Set alerts for specific events — for example, notify the director when total collections exceed UGX 50 million, or when the outstanding balance for a particular class exceeds a threshold.

Role-Based Access: The Right Information for the Right People

  • Auditors: Time-limited, read-only access to all financial records with full audit trail. Access expires automatically after the audit period.

Customising Access Levels

Schools can create custom roles beyond the defaults. For example, a school might create a "Finance Committee" role with access to revenue comparison reports but not individual student records. All role creation and modification is logged for accountability.

Mobile-First Design: Finance Management on the Go

Ugandan school leaders are rarely at their desks. They are in classrooms, at assemblies, meeting parents, and travelling between campuses. The financial dashboard is designed to work flawlessly on mobile devices.

  1. Log in to your DesisPay school admin portal.
